Quote follow up

Pool Service Quote Follow-Up Automation

You quote a green-to-clean at $450. They say "let me think about it." You forget. They forget. PoolCRM doesn't.

When I ran my pool company in Gilbert, quotes died in two places: my truck and their inbox. I'd send a number, get busy, and never circle back. The customer wasn't saying no. They were saying "not this second." Nobody followed up, so nobody got the job.

PoolCRM sends the follow-up for you. Four touches over two weeks, then it stops. The moment the customer replies, the sequence ends and the conversation is yours.

The sequence

DayChannelWhat it says
1Text"Here's the quote again in case it got buried. Any questions?"
3EmailThe quote as a clean PDF with a one-line summary and a book-now link.
7Text"Still want to get this on the schedule? I've got a spot Thursday."
14Text"Last check. Want me to close this out, or hold the spot?"

Day 7 is where most stale quotes come back. Day 14 gives the customer a clean way to say no, which is better than silence. You stop looking desperate and start looking organized.

Why pool quotes go stale

  • The quote goes out from the truck, on the spot, and never gets written down anywhere you'll see again.
  • Repair quotes compete with a spouse, a budget meeting, and three other companies.
  • Weekly service quotes get lost because the homeowner is comparing five prices and yours came in first.
  • You're too busy in May to remember who you quoted in April.

Quotes as a pipeline, not a memory

Every quote gets a card: New, Sent, Following up, Won, Lost. You see at a glance how much money is sitting in "Following up." At my company that number would have scared me into action years earlier.

  • Card shows the amount, the date, and which follow-up is next.
  • Won moves the customer into your service list and triggers the review request after the job.
  • Lost asks for a reason. Price, timing, went elsewhere. Over a season those reasons tell you what to change.

FAQ

How many follow-ups does PoolCRM send?

Four over 14 days: day 1, 3, 7, and 14. Then it stops unless you restart it by hand.

What if the customer replies?

The sequence stops immediately and the reply lands in your inbox. Nobody gets a follow-up after they've already answered.

Can I change the messages?

Yes. Every message is editable. Most owners change the sign-off and keep the rest.

Does it work for quotes I send from Skimmer or Jobber?

Yes. Mark the quote as sent in PoolCRM, or connect the two through Zapier so it happens automatically.

What happens after day 14?

The quote moves to a Lost column with a reason. Once a quarter, you can send a one-line 'still need this?' to everyone in that column.

Skimmer runs the route. PoolCRM fills it.
